At Adawn, every appointment is carefully prepared with you in mind — from the time we reserve to the team and resources dedicated to your visit.
We’ve designed our appointment process to make your experience smooth and stress-free, so you always know what to expect, and our team can focus entirely on giving you the best possible care.
We want every experience here to feel seamless, thoughtful, and comfortable, which is why we’ve created a gentle guide here to help you feel supported, informed, and completely at ease.
Thoughtful Reminders
Every appointment made at Adawn receives an instant SMS confirmation when it’s booked, so you can pop it straight into your diary. From there, we’ll stay in touch to make sure you’re always reminded ahead of time:
Two weeks before
Two weeks before your visit, you’ll also receive an SMS reminder, giving you plenty of time to plan or make any changes if needed.
Three days before
We’ll send an SMS asking you to let us know you’ll be attending by replying ‘C’.
When Plans Change
We understand that life doesn’t always go to plan and sometimes the unexpected happens.
If you need to move your appointment, we simply ask that you let us know on the day you receive your three-day reminder. This gives us the full three business days’ notice we need to offer your time to another patient who may be waiting and ensures they have enough notice to attend.
The easiest way to reschedule? A quick phone call.
The easiest way to make changes is by phone - you’ll reach us right away, and we can find a new time that suits you perfectly. We avoid rescheduling by SMS or email simply because those messages may not be seen in time and your care deserves certainty.
Late Change Fee (explained with love)
When we reserve time for you, we prepare a room, set up equipment and materials, and book our clinical team around your visit.
If an appointment is changed or missed with less than three business days’ notice, we charge a 'Late Change Fee'. The fee for standard visits is $100.
For longer or more complex appointments, the fee may be higher to reflect the extended preparation and clinical time.
If we do not hear from you
If we don’t hear from you, we’ll try to reach you by phone. If we’re still unable to make contact, your reserved time will be released to another patient so no one misses out on care, and the late change appointment fee will apply.
If you confirm your appointment but don’t attend on the day without notice, the same $100 fee may be charged to help cover the time and resources set aside for you.
If the unexpected happens
Of course, we always apply this with compassion, understanding, and flexibility in genuine cases of illness or emergency.
Reservation Fee
Some appointment types require a reservation fee at the time of booking. You’ll receive a secure Stripe link via SMS to make this quick and easy, which we ask you to complete within 24 hours.
This ensures your appointment is prioritised and prepared exactly for you - the right time, the right clinical team, and everything ready when you arrive. It also allows us to dedicate the right amount of time to your appointment, so your visit is calm, comfortable, and never rushed.
These appointments include:
New patient visits – $100
Saturday appointments – $100
Appointments longer than 60 minutes – fee dependent on treatment and time reserved
When the fee may be higher
In some cases, we may also request a higher reservation fee for patients who have long procedures or patients who have had multiple short-notice changes or missed appointments, to help us manage our schedule fairly and ensure everyone has access to the care they need.
How the fee works for you
It’s credited toward your treatment on the day
If you reschedule with enough notice, we simply move it to your new time
If the appointment is missed or changed too late, it is forfeited to help cover the time we reserved for you
Arriving on Time
We do our best to run on time because we know your time is important. Your punctual arrival helps us keep every patient’s visit smooth and unhurried.
Arriving a few minutes early helps us start your visit calmly and ensures your full appointment time is dedicated to you.
Before your appointment, please take a moment to complete or update your details through the Patient Portal
You can securely update your medical history, review treatment details, or complete any new patient forms ahead of your visit, saving time and helping your clinician prepare with the most up-to-date information.
